What Does a Construction-Site Coffee Station Cost? A Budgeting Guide

Construction Fuel jobsite coffee station with storage for supplies

A construction-site coffee station budget should cover setup, coffee and other supplies, ongoing service or maintenance, and the length of the commitment. A monthly figure is useful only when you know what it includes and how much coffee the crew will use.

Start with the full project period, then work back to a monthly allowance. That makes it easier to compare a self-managed setup with a service quote on the same terms.

Separate startup costs from recurring costs

For a self-managed station, startup costs may include brewing equipment, furniture or a cart, supply organizers, mugs, and the first coffee order. List what you already own separately. Equipment from a previous project can reduce the new cash outlay, but check its condition and suitability before treating it as ready to use.

Recurring costs may include coffee, creamers, sweeteners, cups if used, cleaning supplies, and replacement items. Add any delivery charges that apply to your actual orders. Keep an allowance for maintenance or equipment replacement rather than assuming nothing will need attention.

For a managed service, ask for the included items and exclusions in writing. Check whether setup, replenishment, support, removal, taxes, and any additional consumption are included in the quoted amount or charged separately.

Estimate consumption before comparing plans

Use expected drinks at the station rather than total project headcount. Some people bring coffee, some make more than one drink, and some work elsewhere for part of the week. Visitors and coordination meetings may also affect demand.

Expected monthly servings = average servings per workday × workdays in the month.

For a hypothetical site serving 24 drinks per workday over 22 workdays, the starting estimate is 528 servings. Those numbers are an illustration, not an EverBold service allowance or a recommendation for every 24-person crew.

Then check the busiest periods. If most drinks are requested within the same short window, equipment capacity and layout may matter as much as the monthly supply quantity.

Build a hypothetical self-managed budget

The following figures are invented planning inputs in US dollars. They are not EverBold prices, supplier quotations, or market averages. Replace every amount with your own verified costs.

  • Equipment and initial setup: $600
  • Coffee: 528 servings at an assumed $0.65 each, or $343.20 per month
  • Other consumables: an assumed $75 per month
  • Maintenance and replacement allowance: an assumed $25 per month

In this example, recurring supplies and the maintenance allowance total $443.20 per month. Across six months, the planning total is $600 + (6 × $443.20), or $3,259.20. Taxes, shipping, utilities, and internal staff time are excluded and would need their own entries.

That total is a starting point for comparison. It does not show that one purchasing model is cheaper. A service quote may include equipment or tasks that this simple example prices separately or leaves out.

Make the service comparison fair

Ask a provider to quote the same project duration and consumption assumptions. Then list the work your team would still perform, such as refilling water, routine cleaning, keeping supplies organized, and making requests when needs change.

Keep internal staff time in a separate line if your company wants to account for it. Use your own estimate of hours and the rate your organization approves. Do not convert every coffee run into a claimed productivity saving without evidence from your project.

Equipment ownership also changes the comparison. For a purchase, ask what usable value might remain after the project. For a service arrangement, confirm who owns the equipment and what happens when service ends. Avoid assigning a resale value unless you have a reasonable basis for it.

Check the commitment and possible changes

EverBold's station service lists a six-month minimum. Availability depends on the project address and delivery requirements.

Before approving a quote, ask what happens if the project finishes early, moves, pauses, or adds another shift. Confirm the notice requirements, additional-consumption pricing, and any charges associated with delivery, access, transfer, or removal. Have the quote explain anything that would materially change your total.

Send a useful quote request

Provide the site address, planned start and end dates, estimated drinks per workday, operating days, and likely changes in crew size. Mention unusual delivery access and the available station space.

Request a Construction Fuel Crew Coffee Station quote with those details. Compare the confirmed proposal against your own itemized budget before selecting an option.
